Administrative and marketing assistant

Location: Mersch, Luxembourg
Contract Type: 1 year fixed-term contract (CDD) – Full time
Start Date: March 1st, 2026 (to be agreed upon)

We are looking for a dynamic and versatile administrative and marketing assistant to join our team. This key position will contribute to the efficiency of our operations by supporting administrative, commercial, and both internal and external communications.

Responsibilities:
Administrative:

  • Manage the director’s email, archive communications, and save relevant information.

  • Organize the director’s agenda, schedule and prepare meetings, and write meeting minutes.

  • Prepare meeting rooms and welcome clients.

  • Format documents using InDesign, Photoshop, Word, and Excel.

  • Manage invoices: sending, scanning, and archiving.

  • Answer phone calls and handle daily communication.

  • Oversee internal logistics and office supply management.

Commercial and Marketing:

  • Monitor competition opportunities and prepare submission files.

  • Handle first contacts with prospects and schedule appointments.

  • Create content for social media and the website; manage public relations.

Project Management:

  • Assist in managing tenders and following up on responses.

  • Assist in preparing contracts with companies.

  • Prepare the administrative documents required for building permit applications.

Skills and Qualifications:

  • Proficiency in Office 365, Mac environment, Adobe InDesign, and WordPress.

  • Excellent command of French and English; German and Luxembourgish are a plus.

  • Ability to work independently, organized, and proactive.

  • Strong communication skills, comfortable on the phone and in face-to-face interactions with clients.

Education:

  • Degree in business administration, communication, or a related field.
